AI in Associations: Our Policy and Our Approach
Artificial intelligence is now part of daily operations at many associations, from drafting member communications to analyzing event data. At Premier Choice, we believe association leaders need a clear framework before adopting these tools, not after. Below is our AI usage policy, followed by a look at how associations are putting AI to work and how we help our clients keep pace.
Our AI Usage Policy
Premier Choice uses AI tools to support, not replace, the judgment of our staff. The following principles guide that work:
Human review on every output. AI-generated content, whether a newsletter draft, a data summary, or event copy, is reviewed and edited by a Premier Choice team member before it reaches a client or member.
Confidentiality first. Member data, financial records, and other sensitive information are never entered into public or unvetted AI tools. We only use platforms that meet our data security and privacy standards.
Disclosure when it matters. If AI played a meaningful role in producing a document or communication, we tell the client. There is no hidden use of AI on decisions that affect an association's members or finances.
No autonomous decision-making. AI tools inform our recommendations. They do not make governance, financial, or strategic decisions for our clients. Those decisions stay with association leadership and our staff.
Ongoing staff training. Our team is trained on which tools are approved, what data can and cannot be used, and how to evaluate AI output for accuracy before it goes further.
This policy is reviewed regularly as tools and regulations change.
How Associations Are Using AI Today
With that foundation in place, here is where we are seeing AI make a real difference for associations:
Member communications. AI tools help draft first versions of newsletters, event promotions, and renewal reminders, which staff then edit for tone and accuracy. This cuts drafting time without sacrificing the voice of the organization.
Data and reporting. Associations generate significant data through membership systems, event registrations, and surveys. AI-assisted analysis can surface trends, such as which member segments are at risk of lapsing, faster than manual review.
Meeting and event support. From summarizing board meeting notes to generating first drafts of session descriptions for a conference, AI tools reduce the administrative load on staff during high-volume periods.
Research and content development. AI can help staff quickly pull together background research on industry trends or regulatory changes, giving association leaders a starting point for board briefings. Each of these uses still requires staff oversight. The tools speed up the first draft. People are responsible for the final product.
One of the Ways We Help Clients Stay Relevant
Guiding associations through AI adoption is one part of a broader commitment at Premier Choice: helping our clients keep up with changing technology rather than falling behind it. Whether that means recommending a new membership database, adopting updated event registration platforms, or now, establishing a responsible approach to AI, our role is to bring proven tools to your organization without asking your staff or board to become technology experts themselves. Associations that stay current with technology are better positioned to serve their members, operate efficiently, and compete for attention in a crowded landscape. That is the outcome we work toward with every client, on AI and every other tool in our toolkit.
